Review input costs every quarter and write the case early
An increase asked for late and without a case gets given back as a promotion. This sheet keeps a one-page commodity scoreboard and puts a decision in the diary every quarter. It writes the retailer case before the meeting. It builds the Competent step of the check:
A quarterly input-cost review decides whether and when to move, and the case to the retailer is written before the meeting.
Step 1. The commodity scoreboard
One page, updated each quarter. Use a public index for each input where one exists.
| Input | Share of product cost (%) | Index or source | Last quarter | This quarter | Change (%) | Effect on cost per unit | Contracted or hedged until |
|---|---|---|---|---|---|---|---|
| e.g. Packaging | 18% | Published resin index | 100 | 108 | +8% | +$0.03 | March |
| Main raw material | |||||||
| Packaging | |||||||
| Freight | |||||||
| Energy | |||||||
| Labour | |||||||
| Exchange rate |
Step 2. The quarterly decision
| Quarter | Cost change since the last increase (%) | Margin lost per unit | Decision (move, wait, absorb) | Increase (%) | Effective date | Decided by |
|---|---|---|---|---|---|---|
Count back from the effective date. Allow for each retailer's notice period and its range review dates.
Step 3. The case for the retailer
Write it before the meeting is booked.
- The cost movement for each input, with its public index
- What we have absorbed already, and for how long
- The increase by product, and the shelf price it implies
- Where we sit against competitors after the move
- What we offer in return, if anything
- What we will not give back as promotion
- Effective date and notice given
The Food and Grocery Code sets rules for how a large grocer handles a supplier's request to raise prices. Read the current Code before you ask. Ask a lawyer where a case is unclear.
Step 4. For the next agreement
A cost-movement clause turns the next increase into a calculation.
| Element | Our proposal |
|---|---|
| Starting price and the input cost it assumes | |
| Index for each main input | |
| How often it is reviewed | |
| Movement that triggers a change (%) | |
| Share of the movement each side carries | |
| Cap per year, up or down |
Done when: a quarterly input-cost review decides whether and when to move, and the retailer case for the next increase is written before the meeting.
