Worksheet · Operating Model Health Check
List what is done in more than one place
Duplication is grumbled about long before anyone lists it. This sheet maps each activity to where it is done and the system it runs on, then decides where it lives. It builds the Competent step of the check:
There is a list of what is done centrally, what locally and what is shared, each activity appears once with one owner, and the systems each activity runs on are on the same list.
Step 1. Map the activities
Put one row per activity and one column per site, region or team. Mark who does it.
| Activity | Head office | Site or region 1 | Site or region 2 | Site or region 3 | Systems it runs on |
|---|---|---|---|---|---|
| e.g. Customer credit checks | Yes | Yes | Yes | No | Two accounting packages and a spreadsheet |
Step 2. Decide where each one lives
| Activity | Central, shared or local | One owner | One system | Reason, for every one kept local |
|---|---|---|---|---|
Keep an activity local only where the customer or the site needs it done there. Write the reason.
Step 3. Move the first three
| Activity | From | To | Owner of the move | Date |
|---|---|---|---|---|
A business under 50 people: list the jobs that two people each do their own way, such as quoting or ordering stock. Agree one way for each and name who owns it.
Done when: the list shows every activity once, with one owner and its system, marked central, shared or local.
